Transaction Coordinator (Hybrid)

Position Overview

Join our growing real estate team and become an important part of a fast-paced, service-driven company focused on excellence, integrity, and client care. Recer Home Group is seeking a highly organized, dependable, and growth-minded professional who thrives in a detail-oriented environment.

In this hybrid role, your core responsibility is to oversee residential real estate transactions from executed contract to closing. However, this is not a traditional, rigid TC role; you will also provide critical administrative and operations support directly to our team leader, Travis. This position requires someone who is proactive, positive, professional under pressure, and ready to handle diverse database, marketing, and executive support tasks that extend beyond typical file compliance.

Hours & Availability

  • Business Hours: Monday–Friday, 8:00 AM – 5:00 PM.
  • Requirement: Must maintain availability during these hours.
  • Flexibility: Daily tasks will fluctuate; at times, you will perform more operational and administrative support duties depending on current deal volume and team needs.

Responsibilities

Core Real Estate Transaction Coordination

  • Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing.
  • Ensure all parties meet contractual deadlines with a strong sense of urgency.
  • Coordinate title, mortgage loan, appraisal, and closing processes.
  • Coordinate inspections, repair negotiations, repair scheduling, and related communication.
  • Maintain consistent communication and provide proactive updates to clients, agents, lenders, title companies, and vendors.
  • Submit all necessary documentation for broker compliance.
  • Schedule and coordinate closings, possession timelines, and key transaction milestones.
  • Proactively reach out to clients post-closing to check in on their transition and secure online reviews.
  • Schedule post-closing follow-up communication and ongoing client care touchpoints to foster long-term relationships.

Extended Administrative & Marketing Operations

  • Audit and clear Travis’s email inbox several times a day to filter and archive junk mail.
  • Manage, audit, and clean up the team's CRM database to ensure data accuracy, proper tagging, and organization.
  • Curate, design, and send out the team's weekly "Deal of the Week" marketing broadcast.
  • Edit, format, and optimize short-form social media videos for the team.
  • Provide ad-hoc administrative support to Travis to streamline daily business operations.
  • Complete occasional physical errands within the Clarksville area if the company courier is out of the office.

Qualifications & Requirements

  • Education: High school diploma or higher.
  • Experience: Minimum 1 year of administrative experience.
  • Industry Knowledge: Previous real estate transaction coordination or real estate industry experience is highly preferred.
  • Communication: Strong written and verbal communication skills for professional client outreach and review generation.
  • Organization: Exceptional attention to detail and ability to prioritize and manage multiple deadlines with accuracy and efficiency.
  • Mindset: Positive attitude with a client-first mindset and a growth-minded drive to learn.
  • Integrity: Strict ability to maintain high confidentiality and handle private inbox data with professionalism.
  • Tech Skills: Proficiency with technology, database cleaning, CRMs, transaction management systems, Google Workspace, and basic social media video editing tools.
  • Autonomy: Ability to work independently while also contributing as a reliable team player.
  • Transportation: Valid driver’s license and a reliable vehicle for occasional local errands.

Workspace & Equipment Setup

  • In-Office Days: You will work from a dedicated office space with all computer hardware provided.
  • Remote Days: You must provide your own home office setup, including a dedicated, quiet workspace, personal laptop/computer hardware, and reliable high-speed internet.
