Job Description

​​​​​​MalaceHR is seeking an experienced and hands-on Facility Manager to oversee the operations, maintenance, and vendor management of a portfolio of off-campus apartment communities. This role combines field leadership with administrative responsibilities, requiring approximately 65% of time spent in the field managing facilities, maintenance projects, and vendor activities, and 35% of time spent in the office handling CMMS administration, reporting, budgeting, and operational planning.

The ideal candidate will possess strong technical knowledge of building systems, maintenance operations, and property management practices while also demonstrating exceptional organizational, communication, and leadership skills.

Essential Responsibilities

Facility Operations & Maintenance

  • Provide day-to-day oversight of maintenance operations across multiple apartment properties.
  • Conduct routine property inspections to ensure facilities are safe, well-maintained, and operating efficiently.
  • Support and direct maintenance staff in troubleshooting and resolving building system issues.
  • Oversee preventive maintenance programs for HVAC, plumbing, electrical, life safety, and general building systems.
  • Coordinate apartment turnover activities and capital improvement projects.
  • Respond to facility emergencies and provide leadership during after-hours incidents when necessary.
  • Ensure compliance with company policies, safety regulations, and local building codes.

Vendor & Contractor Management

  • Manage relationships with external vendors, contractors, and service providers.
  • Solicit bids, review proposals, and coordinate vendor work to ensure quality and cost-effectiveness.
  • Monitor contractor performance and verify work completion according to scope and contractual requirements.
  • Maintain service agreements and vendor documentation.

CMMS & Administrative Management

  • Utilize Computerized Maintenance Management Systems (CMMS) to manage work orders, preventive maintenance schedules, asset tracking, and reporting.
  • Monitor maintenance metrics and identify opportunities to improve efficiency and service delivery.
  • Develop and maintain Excel-based tracking reports for maintenance activities, projects, vendor performance, and operational metrics.
  • Maintain accurate records of maintenance expenditures, projects, and facility documentation.
  • Generate reports and communicate facility performance to leadership.

Qualifications

  • 5+ years of facilities, property maintenance, or building operations experience.
  • Previous supervisory or management experience preferred.
  • Strong understanding of HVAC, plumbing, electrical, mechanical, and general building systems.
  • Experience managing vendors, contractors, and service agreements.
  • Working knowledge of CMMS platforms and maintenance management processes.
  • Intermediate to advanced proficiency with Microsoft Excel and Microsoft Office Suite.
  • Experience with budget tracking, forecasting, and expense management.
  • Strong organizational, communication, and problem-solving skills.
  • Valid driver's license and ability to travel between properties as needed.

Preferred Qualifications

  • EPA Section 608 Certification preferred.
  • Certified Pool Operator (CPO) certification preferred.
  • Experience within multifamily housing, student housing, or residential property management environments.
  • Facilities Management certifications such as FMP, SFP, or CFM are a plus.
